Scientific & Administrative Coordinator and Support

For a European umbrella organization active in the food supplements industry, we are looking for a motivated and enthusiastic professional who thrives on variety.


Role Purpose

You bring in scientific and technical knowledge, while also being able to handle administrative and organizational responsibilities to ensure the business runs smoothly.

 

Competencies Profile


1. Scientific & Technical Expertise

  • Master’s degree in a relevant scientific field (nutrition, food sciences, biology, pharmacy, or related discipline).
  • Ability to understand, analyze, and summarize complex scientific dossiers relevant to food supplements and EU health policy.
  • Capacity to translate scientific information into accessible content for members and policymakers.
  • Skills to support working groups with scientific input and to coordinate scientific positions with national associations (such as be-sup).


2. Administrative & Organizational Skills

  • Strong ability to manage day-to-day office administration (organizing agendas, preparing minutes, handling correspondence).
  • Experience in drafting and sending newsletters, preparing invitations, and maintaining databases.
  • Proficiency in event organization, including logistics for working groups, board meetings, and member events.
  • Hands-on and flexible attitude: willing to do both high-level tasks (supporting dossiers) and practical tasks (office organization).


3. Communication & Member Support

  • Strong writing skills in English (and ideally another EU language, e.g. French, German, Dutch).
  • Experience in writing newsletters, summaries, and reports that combine scientific and policy content.
  • Ability to respond to member questions on scientific and regulatory topics in a clear and service-oriented way.
  • Experience in facilitating working groups and ensuring active member engagement.

 

4. Complementarity with the Director – General (DG)

  • While the DG is the political face and spokeswoman, the “Coordinator and Support” should be the scientific anchor and operational backbone.
  • Capacity to work independently but in close alignment with the DG’s strategy.
  • Reliability, discretion, and ability to handle sensitive dossiers with care.

 

5. Digital & Technical Skills

  • Comfortable using office software and online collaboration tools (Word, PowerPoint, Excel, Teams/Zoom).
  • Ability to manage mailing systems, websites, and simple graphic editing for newsletters.
  • Experience with document management and version control (especially for position papers and scientific notes).

 

Ideal Profile

 

  • Background: Master’s degree in a scientific field + some experience in EU regulatory/scientific affairs.
  • Strengths: Analytical thinker, detail-oriented, reliable, organized multitasking.
  • Personality: Hands-on, pragmatic, service-oriented, and able to multitask between scientific dossiers and office administration.
  • Added value: Complements the DG by bringing scientific credibility and operational support, freeing her to focus on political and lobbying work.
